SMEhub Privacy Policy

SME Hub is SME LLP’s (“SME”, “we”, “our”, or “us”) secure client portal to facilitate communication and document exchange between SME and its clients.

SME Hub is designed to help clients securely interact with our Firm. Depending on how you use the app, we may collect and process information including:

  • Account and contact information, such as your name and email address.
  • Documents and files you choose to upload.
  • Communications exchanged through the secure client portal.
  • Basic technical information required to operate and secure the application, such as device information, log data and authentication details.

Infrastructure

TaxDome is the technology infrastructure provider that powers SME Hub (see their Privacy Policy at https://taxdome.com/privacy). In providing the underlying platform, TaxDome and its service providers may automatically process certain technical and usage information, such as IP address, device and application identifiers, device information, access times, usage and performance information, app errors and debugging information, log information, authentication and session information and similar technical data. Depending on the manner in which the services are accessed, cookies or similar technologies may also be used.

How We Use Your Information

We use your information to:

  • Provide access to your client portal.
  • Facilitate secure communication with your SME team.
  • Receive and share documents.
  • Deliver relevant documents.
  • Enable electronic document signing.
  • Send service-related notifications and requests.
  • Improve the security, reliability and performance of the application.
  • Comply with legal and regulatory obligations.

Certain processing of personal information is necessary to provide SME Hub and our professional services to you. If we seek to use your personal information for an optional purpose that is not necessary to provide those services, we will obtain consent where required by applicable law.

SME does not use SME Hub to sell personal information or for third-party advertising purposes.

How We Share Information

We limit access to personal information to those who require it for legitimate business, professional and technical purposes. Information processed through SME Hub may be shared with:

  • Authorized SME personnel who require access to provide services to you.
  • Hosting, security, monitoring, communications and other technology service providers used to operate, maintain and protect the platform.
  • Other parties where disclosure is required or permitted by law, regulation, professional obligations or legal process.

Data Retention and Deletion

We retain personal information as reasonably necessary to provide our services and maintain our relationship with you, and as required to satisfy applicable legal, regulatory, tax, accounting, professional, security and record-retention requirements.

When personal information is no longer required for these purposes, we will take reasonable steps to securely delete, destroy or anonymize it, as appropriate and subject to applicable requirements.

Certain information may remain in secure backups or archival systems for a limited period following deletion in accordance with applicable backup, security and record-retention practices.

Your Account and Privacy Rights

You may request access to or correction of personal information held about you, subject to applicable law. You may also request that your SME Hub account be closed and that personal information associated with your account be deleted by contacting us at hub@smesync.com.

Upon receiving an account-deletion request, we will verify the request and take reasonable steps to close the SME Hub account and delete personal information that is no longer required. Some information may need to be retained where necessary to comply with legal, regulatory, tax, accounting, professional, security, contractual or record-retention obligations, or where otherwise permitted or required by law.

Closing or deleting your SME Hub account does not necessarily require SME to delete records that form part of our professional client files or that we are otherwise required or permitted to retain.

If information cannot be deleted, we will continue to protect it and limit its use to the purposes for which retention is required.

Data Security

The security of your personal data is important to us. We take reasonable administrative, technical and physical measures to secure and protect your personal information against unauthorized access, loss, misuse or disclosure.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to SME Hub, our privacy practices, technology or applicable legal requirements.
